A paperless food safety system in South Africa costs between R499 and R3,800 per site per month in October 2026, depending on how much of your food safety management system you want to run digitally. The entry price covers Regulation R638 and Certificate of Acceptability records for a single kitchen or small premises. The top end covers a full document FSMS for a certified site working to HACCP, FSSC 22000, BRCGS or GLOBALG.A.P., with checklists, monitoring, traceability, corrective action and supplier records in one place. Add-on modules such as traceability, inventory or a supplier portal start at R650 a month. Those are ASCloud’s published prices, and they are the only South African food safety software prices we know of that are printed on a public page rather than hidden behind a quote form.
Why most quotes in this market are hard to compare
If you have asked three vendors for a price in the last year, you have probably received three documents that cannot be laid side by side. One charges per user, one per site, one per module with a platform fee on top. One quotes in dollars. One includes setup, one bills it at a day rate, one does not mention it until the contract arrives. The result is that a quality manager at a mid-sized plant can spend a month gathering quotes and still not know what the system will cost in year two.
The honest comparison has four lines: what you pay per site per month, what you pay once for setup, what happens when you add a second site, and what is excluded. Ask every vendor for exactly those four numbers in rand, including VAT, and most of the confusion disappears.
The price tiers, and what each one is actually for
ASCloud publishes five plans. The right one depends on the standard you are audited against, not on the size of the business.
- R638 and Certificate of Acceptability, from R499 per site per month. For restaurants, caterers, bakeries, butcheries and small manufacturers whose main obligation is Regulation R638 of 2018 and the municipal Certificate of Acceptability. Daily cleaning, temperature and pest checks on a phone, a staff training register and the records a health inspector asks for.
- GFSI Entry, R1,820 per site per month. For sites working towards a benchmarked standard, typically the BRCGS START! programme or a retailer’s supplier scheme. Adds the prerequisite programme checklists, HACCP records and supplier approval records a benchmarked programme asks for.
- GFSI Intermediate, R2,800 per site per month. For sites between a basic programme and full certification. Adds the fuller document set, internal audit scheduling and management review records a site needs on the way to certification.
- GLOBALG.A.P. Primary, from R2,500 per site per month. For farms and packhouses working to IFA v6, with the control points and compliance criteria loaded and the records organised the way a GLOBALG.A.P. inspector expects to see them.
- Full document FSMS, from R3,800 per site per month. For certified sites on FSSC 22000 Version 7, BRCGS Issue 9 or a full HACCP system. Every document, checklist and record the standard requires, with scheme updates applied by ASC when the standard changes.
Setup is a once-off R3,850 on entry plans and from R5,000 on Primary and Certification plans. It covers five working days of configuration by an ASC food safety specialist, who loads your existing documents and builds your checklists rather than handing you a blank system.
What the monthly fee includes on every plan
Three things are included at every tier because they are the reason to go paperless at all. First, triggers for missed or incomplete tasks, so a skipped 06:00 temperature check sends an alert instead of appearing as a blank line at the audit. Second, verifications, so a supervisor signs off a record on the day rather than in a batch the night before the auditor arrives. Third, scheme updates. When a scheme changes, as FSSC 22000 did with Version 7 in May 2026, ASC maps the change and the updated documents and checklists arrive in your system as proposed revisions to accept. Nobody prints a new form.
Add-on modules and what they cost
Modules are priced per site per month and can be switched on at any time. Pest control integration is R650, which pulls the contractor’s visit reports into the FSMS. Supplier portal is R1,450, so suppliers upload their own certificates and specifications. Traceability is R1,690 alone, or R2,100 with production planning. Inventory with allergen control is R1,850. Adding a second standard to an existing system is R2,400. ISO 9001:2026 is R2,800 and ISO 45001 is R2,500 when added to a running FSMS. Automated tools from the ASC shop, such as environmental monitoring, food safety culture, food defence, food fraud and food loss and waste, are priced per site per year from R750.
How this compares with the alternatives
Paper costs more than people think. Add up printing, filing, the quality assistant’s hours spent retrieving records and the days lost to audit preparation each year, and a single site is usually spending more than an entry plan before any audit finding is counted. Generic document management systems sold to legal and engineering offices are priced per user, so a quality team of six pays several times over, and the system still has no idea what a CCP is. International food safety platforms quote in dollars or euros, which at South African exchange rates multiplies the monthly cost, and their standard-specific content is built for the FDA or the EU rather than for R638 and the Department of Health.
What to check before you sign
Ask whether the price is per site or per user. Ask who updates the system when the standard changes and whether that is included. Ask where the data is hosted and whether you can export it if you leave. Ask what happens to the price when you add a site, because multi-site groups are where per-user pricing quietly doubles.
