Food safety software for SMEs: what you need and what you do not

A small food business in South Africa needs four things from food safety software: daily checks done on a phone, temperatures recorded against a limit, a training register that reminds you before certificates lapse, and pest control records in one place, with an alert to the owner when any of them is missed. That is the whole list for a restaurant, caterer, bakery, butchery or small manufacturer working to Regulation R638. It costs from R499 per site per month on ASCloud. Everything beyond that list is for sites with a certified standard, and buying it before you need it is the most common mistake SMEs make when they go digital.

Start from the inspection, not from the brochure

The question to ask is who inspects you and what they ask for. If the answer is the municipal environmental health practitioner under R638, the records are cleaning, pest control, temperatures, training and a basic food safety programme. If the answer is a retailer’s supplier audit, add supplier approval, allergen control and traceability. If the answer is a certification body for HACCP, FSSC 22000 or BRCGS, you need a full document FSMS and this article is not for you, the full document plan at R3,800 per site per month is. Most SMEs sit in the first group and are sold systems built for the third.

What you need

  • Checklists on a phone, not a tablet bolted to a wall. Your staff carry phones. A system that needs its own hardware is a system that stops being used in month three.
  • Temperature entry with a limit. A fridge reading of 9°C must prompt an action, not sit in a column. The software should know the limit and force a corrective action when it is breached.
  • Missed-task alerts. This is the one feature that pays for the subscription. If Friday’s cleaning check is not done by the time you set, you get a message. On paper you find out at the inspection.
  • A training register with reminders. Lapsed food handler training is one of the most common findings on R638 inspections, and it is entirely avoidable.
  • Somewhere to keep the pest contractor’s reports. Upload them or have them land automatically with pest integration at R650 a month.
  • A record you can show. Every entry timestamped and attributed, with a history. That is what makes the inspector trust the screen.

What you do not need yet

A HACCP plan builder, if your hazard analysis fits on two pages and has not changed since you opened. A supplier portal, if you have six suppliers and all of them are large companies with certificates you can download. Full traceability with mass balance, if you are not manufacturing for retail. Integration with an ERP, if you run your business on an invoicing app. ISO 9001, 14001 and 45001, which are for sites being asked for them by a customer. All of these exist on ASCloud as modules you can switch on later, which is the point. You pay for them when an inspector, a customer or a standard asks, not before.

Multiple outlets

The one place a small business grows into needing more is when the second and third outlet open. At that point the owner cannot be in every kitchen, and the question changes from “are we doing the checks” to “which site missed what this week”. Is the price per site or per user, because per user means every shift supervisor costs money. Who builds the checklists, because a blank system with a video tutorial is not a service. How many staff can use it?

As many as you like. Pricing is per site, not per user, so every staff member who does a check can have their own login.

Can I move up to a bigger plan later?

Yes. Plans are per site and can be changed at any time. Your records stay where they are.

Is there a contract?

Monthly plans are billed monthly and can be cancelled with notice as set out in the terms. Annual plans are refunded pro rata.
