ISO 22000 Document Templates Toolkit for South African Food Businesses
By Mthokozisi Nkosi, Food Safety Specialist & Lead Auditor, ASC Food Safety · 10 min read

ISO 22000 is the international standard for a food safety management system, and for many South African businesses it is the most logical framework to build their food safety around. The challenge is that ISO 22000 asks you to document a complete, structured system. An ISO 22000 document templates toolkit gives you that whole system already written to the 2018 version of the standard, so you can implement it rather than build it from scratch.

What is ISO 22000?
ISO 22000:2018 sets out the requirements for a food safety management system that any organisation in the food chain can use, from farms and manufacturers to transport, storage and catering. It brings together four ideas: the ISO management-system structure (the same High-Level Structure used by ISO 9001), the principles of HACCP, a set of prerequisite programmes, and interactive communication up and down the supply chain. Running through all of it is the Plan-Do-Check-Act cycle, which drives continual improvement.
To meet the standard, you need a documented system that shows how all of this works in your specific business. The toolkit is that documented system, ready made. It includes the food safety manual, the management-system procedures, the HACCP plan and the prerequisite programmes, all aligned to the clauses of ISO 22000:2018. You personalise the templates with your company, sites and process, and you have a working ISO 22000 system instead of a blank page and a long deadline.
Why your documented system is everything
In any certification or customer audit, the assessor looks at your documented system and the records that prove you follow it. A control that is not written down, assigned and recorded effectively does not exist as far as the audit is concerned. The documentation is not paperwork for its own sake; it is the structure that makes your food safety repeatable, auditable and defensible.
A management system is only as strong as the documents behind it. The toolkit gets those documents right from day one.
Writing that documentation from scratch is where most of the time and risk of certification sit. A toolkit removes that risk by giving you a complete, internally consistent set of documents that already covers every clause, so your energy goes into running real controls rather than interpreting the standard.
What is inside the toolkit
- A food safety manual and policy mapped to ISO 22000:2018
- Core management-system procedures: document control, internal audit, management review, corrective action and continual improvement
- Prerequisite programme procedures for hygiene, cleaning, pest control, maintenance and personnel
- Hazard analysis and HACCP plan templates, including CCP and OPRP determination and validation
- Interactive communication, emergency preparedness, traceability and product recall procedures
- Forms, registers and internal-audit checklists to run and evidence the system
ISO 22000 or FSSC 22000, which do you need?
This is the most common question we hear. ISO 22000 on its own is a respected international standard, but it is not recognised by the Global Food Safety Initiative (GFSI). FSSC 22000 takes ISO 22000, adds sector prerequisite programmes and a set of extra requirements, and becomes GFSI-recognised, which is what many retailers and export buyers specifically ask for.
Building from scratch vs starting with a toolkit
| From a blank page | With the ASC toolkit | |
|---|---|---|
| Time to a documented system | Weeks to months of specialist writing | Ready to personalise in days |
| Clause coverage | Easy to miss requirements → findings | Every clause of ISO 22000:2018 covered |
| Consistency | Mixed formats, gaps between documents | One consistent, professional structure |
| Cost | High consulting fees to author everything | A fraction of the cost of bespoke authoring |
| Room to grow | May need rework to reach FSSC later | Extends straight into FSSC 22000 |
How the toolkit helps your business
How to implement the toolkit, step by step
- Define your scope and contextPersonalise the manual and policy with your company, sites, products and the interested parties around your business.
- Set up the management systemAdopt the document control, internal audit, management review and improvement procedures as your way of working.
- Build your HACCP studyDescribe products, map process flows, complete the hazard analysis and confirm CCPs and OPRPs.
- Implement the PRPsPut hygiene, cleaning, pest control and maintenance procedures into daily practice and start recording.
- Run an internal auditUse the checklists to verify the system and close gaps before your certification audit.
- Certify and improvePass your audit, then use management review and PDCA to keep improving.
Common mistakes to avoid
Treating the manual as a shelf document instead of how you actually work; skipping the interactive-communication requirement; weak hazard analysis that does not justify the CCPs; and empty records that give the auditor nothing to verify. The toolkit fixes the structure, but the system still has to be lived and evidenced.
Who needs ISO 22000 in South Africa?
ISO 22000 suits manufacturers, processors, storage and distribution businesses and service providers who want a credible, auditable food safety system. It works well for companies that are past the basics of Regulation R638 and want an internationally structured system, and for suppliers whose customers accept ISO 22000 certification. It is also a sensible first step for a business that intends to move to FSSC 22000 later, because the management-system core is identical.

Key takeaways
- ISO 22000:2018 combines the ISO management-system structure, HACCP, PRPs and interactive communication.
- It is respected internationally but is not GFSI-recognised on its own; FSSC 22000 adds that recognition.
- The ASC toolkit gives you the whole documented system, ready to personalise in days.
- Because FSSC is built on ISO 22000, this system extends rather than being replaced when you grow.
